    • Subject to feedback and if no substantial amendments are proposed, the documents will proceed to website publication and the launch of the formal (non-paid) membership application process.
    • If completed prior to the meeting, we will announce that all interested participants and existing subscribers are invited to review the eligibility criteria and complete the formal membership application.
  • Communication Process
    • Discussion on whether the forum alone is sufficient for time-sensitive matters and whether a quicker coordination mechanism is needed. 
    • Example: The recent ETRA 2026 call (Morocco, June 1–4) https://etra.acm.org/2026/index.html
    • The January–February submission deadlines (workshop, short paper, Late-Breaking Work), highlighted the need of responsive communication. Given that ISCET’s initial introduction and publication was presented through COGAIN Symposium and ETRA 2024, this underscores the importance of structured and timely coordination for future opportunities.
  • Evidencing impact: discussion of how ISCET will be able to demonstrate in future that guidelines change clinical practice.
  • Discussion of current clinical practice in UK eye tracking clinics (presented by MJD).
  • Coordination of reference datasets: initial discussion of how ISCET could collect and maintain data from clinics to understand data relibility and identify diagnostic thresholds under different clinical conditions.

Notes

  • Update on the Nystagmus Subcommittee:
    • Two guidelines/standards are being developed:
      • Fixation:  is the basic protocol for that eye movement class which can be used to detect any kind of abnormality of fixation (and we expect, many of the parameters used will feed forward to future eye movement assessments, e.g. for saccades/pursuit a similar target may be appropriate). 
      • The nystagmus guideline is closely related, but would be used once nystagmus is identified, in order to properly characterize the nature of the nystagmus.
    •  Development of the fixation standard is currently underway, with the nystagmus guideline to follow.
    •  ISCET is developing the standards in a format aligned, as much as possible, with the ISCEV guidelines.
    •  The basic structure of the fixation guideline is complete, and at present, the subcommittee has been split into pairs, with each pair conducting a literature review on a specific aspect of the protocol (e.g., screen distance, target size), with a view to determining what is typically used in clinical research of fixation disorders.
  • Ruth: Noted that ISCEV Standards and Guidelines include statements outlining the limitations of responsibilities and suggested ISCET consider including similar wording where appropriate.
  • Fiona Brid Mulvey presented a semi-final draft of an unpublished review on the minimum requirements for nystagmus measurement (co-authored with Larry Abel). The draft will be shared to interested members of the Nystagmus Subcommittee for any feedback from a clinical perspective.
  • Update on the survey subcommittee:
  • Survey progress: Survey data coding and analysis had largely been completed, with the results agreed upon by the subcommittee. The group had progressed to drafting the discussion section, with the aim of circulating a complete manuscript draft to the wider committee for review. 
  • Data analysis: Fiona completed a second round of data analysis and prepared summary tables and figures for inclusion in the manuscript. 
  • Survey response rates: Response rates varied across the different question types, with many respondents not completing all survey questions. 
  • Thematic analysis: Challenges were discussed regarding the thematic analysis of free-text responses, particularly for the question of which eye movement types and clinical conditions future clinical eye-tracking guidelines should cover. 
  • Methodology documentation: The importance of clearly documenting the survey methodology, including how responses were coded and how the findings informed the development and prioritization of ISCET standards and guidelines, was highlighted. 
  • Future topics: Long-term sustainability, data repository options, and toolkit development were included on the agenda but were not discussed in detail.
  • Discussion of current clinical practice in UK eye-tracking clinics (presented by Matt Dunn): Matt presented a brief overview of the challenges and priorities for the clinical adoption of eye tracking. Key topics included the need for standardized protocols, training, and sustainable funding. Potential future priorities included integration of eye-tracking data into patient records, the development of normative datasets, and user-friendly software solutions.
  • Communication process: JiscMail system was considered the preferred method for communication with members. The forum, while good for providing a permanent record of important information, does not tend to reach members. It was noted that JiscMail does also provide a permanent record of communications, but the archive is not well structured for searching for specific content. Although it was suggested that the forum could be removed, no clear decision was reached.
  • Collaborative document platform:
    • There was discussion of Google Docs vs Overleaf, with no specific decision made. There are pros/cons to each (Overleaf seems to be the more professional solution with better version control, but it has a steeper learning curve and may dissuade people from participating)
    • Fiona will consider preparing and sharing a brief guide via the ISCET forum or mailing list on using Overleaf for collaborative document editing, including account setup and basic use.
  • General membership and Ethics Framework / transition to Formal (Non-Paid) Membership Structure
  • The draft Membership and Collaboration Application, Ethical Framework, and associated documents have been available on the ISCET forum (since March 2026) for review before proceeding with the formal membership application process.
  • As the forum was considered insufficient for reaching all current participants and subscribers, it was agreed that the draft documents should also be circulated via the ISCET mailing list to invite wider feedback from the ISCET community.
  • It was agreed to maintain a non-paid membership model initially. The possibility of introducing paid membership in the future may be considered to support operational costs (e.g., web hosting, data storage, etc.).
  • Current website hosting costs are covered through Matt’s university grant until the end of next year. Matt will prepare a funding application to support website hosting beyond the current funding period.
  • Matt noted that, as of 15 April 2026, the ISCET JiscMail group had reached 150 members.
  • Rasha S. Moustafa confirmed that previously discussed comments and concerns had been incorporated in the draft membership and supplementary documents, including clarification that ISCET is not a regulatory body. She will undertake a final review of the Ethics Framework to ensure this is clearly stated and incorporate any additional comments previously sent via Matt and those arising from the meeting.
  • Rasha S. Moustafa will circulate draft documents via the ISCET mailing list with comments enabled in the shared Google Docs and encourage reviewers to sign in when commenting so that comments and contributions can be properly attributed.
  • A deadline will be set for submitting comments, after which the documents will be finalized and the formal membership and collaboration application process implemented.
  • Formalization of Membership Requirements for Standards Subcommittee:
    • The current arrangements and possible future membership requirements were discussed. Further consideration may be given to this topic once the general ISCET membership framework has been implemented.
    • It was noted that the current Standards Subcommittees remain open to interested participants, with conflicts of interest managed as appropriate. A clinician should continue to chair each standards subcommittee. 
    • Matt suggested that future standards subcommittees should include clinicians and experts in the relevant physiological eye movement field, together with other appropriate expertise, to ensure broad expert representation.
  • Evidencing impact: An initial discussion considered how ISCET could demonstrate, over time, whether its standards and guidelines influence clinical practice, including the potential role of future surveys in evaluating their impact.
  • Coordination of reference datasets: An initial discussion explored the possibility of establishing shared reference datasets using anonymized data contributed from different clinical settings to better understand reproducibility and diagnostic thresholds.
